Terms of Service — Pawventory

These Terms of Service (“Terms”) govern access to and use of Pawventory, a web application operated by Dana Willis in Australia (“we”, “us”, “our”).

By creating an account or using Pawventory, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the service.

1. The service

Pawventory helps households and animal rescue organisations record and coordinate animal care information (for example profiles, medical notes, documents, photos, calendars, memberships, and optional care-share links).

Features and interfaces may change over time. We may add, change, or remove functionality.

2. Accounts and eligibility

You must provide accurate registration information and keep your login details confidential.
You are responsible for activity under your account.
Email verification is required before sign-in.
One person may belong to one or more workspaces (household and/or rescue) according to invitations and roles.
We may suspend or terminate accounts that breach these Terms or that present a security or operational risk.

Existing accounts created before these Terms were published may continue to use the service; new signups must accept these Terms and the Privacy Policy at registration.

3. Workspaces, roles, and content

3.1 Household and rescue workspaces

You may create or join:

a household workspace for personal pets and related care, and/or
a rescue organisation workspace for multi-member rescue operations.

Roles (for example manager, volunteer, owner, editor, viewer) control what you can view or edit. Managers/owners are responsible for who they invite and what permissions they grant.

3.2 Your content

You retain rights in content you upload or enter (text, photos, documents, and similar), subject to the licences below.

You grant us a worldwide, non-exclusive licence to host, store, process, display, and transmit that content solely as needed to operate Pawventory (including delivering care-share links when you enable them).

You represent that you have the rights needed to upload content and that it does not unlawfully infringe others’ rights or privacy.

3.3 Animal and third-party information

You may enter information about animals and, in free text or files, about other people. You are responsible for having a lawful basis and for not posting unlawful, harmful, or highly sensitive information without proper authority.

4. Acceptable use

You must not:

attempt to access another user’s account or data without authorisation
probe, scan, or attack the service, or bypass security or rate limits
upload malware or illegal content
use Pawventory to harass, defraud, or harm people or animals
reverse engineer the service except to the extent permitted by applicable law
resell or misuse public share links to disclose confidential information without authority
use automated scraping in a way that harms the service

We may investigate and take action (including suspension) for suspected misuse.

5. Not legal, veterinary, or professional advice

Pawventory is a software tool for record-keeping and coordination. It does not provide veterinary diagnosis or treatment, legal advice, or regulatory compliance sign-off. Always use qualified professionals for animal health and legal decisions. Any future AI write-up features (when enabled) will produce drafts only and may be inaccurate.

6. Care-share links and public exposure

If you create a care-share link or PDF:

anyone with the link can view the sections you selected (no login)
public care-share PDFs are not password-protected in the current product
shares may include assignee or foster name or email in some cases
you can set an optional expiry and can revoke a link; password-protected shares and longer free-tier expiry rules are planned with paid plans and are not currently active as described in section 7
you are responsible for choosing sections and who receives the link

Other public surfaces (invite links, transfer links, joinable rescue search) expose limited information as described in the Privacy Policy. Protect tokens and do not publish links more widely than intended.

7. Subscriptions and billing (When paid plans / Stripe are enabled — Not currently active)

Paid subscriptions, freemium limits, and Stripe billing are planned and not currently active. Until they are enabled, use of Pawventory under these Terms is without in-app subscription charges.

When enabled, the following will apply (subject to the in-product pricing page and Stripe checkout at the time of purchase):

7.1 Plans (product intent)

Billing is expected per workspace, in AUD, by active-animal tier (and related caps), including approximately:

Household Free and Household Plus
Rescue Free, Starter, Growth, Scale, and Pro

Paid plans are expected to lift caps (animals, members, media), remove free-tier ads, and unlock extras (for example care-share password options, longer link expiry, bulk multi-animal PDF/share, and Rescue AI write-up quotas). Exact prices and caps will be shown in-app when live.

7.2 Renewals, changes, and cancellation

Subscriptions renew automatically until cancelled.
You can manage payment methods, invoices, and cancellation through the Stripe Customer Portal (linked from Settings when live).
Tier upgrades/downgrades follow the rules shown at checkout and in Settings.
Overage: near plan limits we may warn you (about 90%); if over limit we may block adding new animals, members, or uploads — we will not lock or delete existing files solely due to overage.

7.3 Refunds and GST

7.4 Stripe (when enabled)

When enabled, card payments will be processed by Stripe. We do not store full card numbers on Pawventory servers. Stripe’s terms also apply to payment processing.

8. Advertising (When enabled / Not currently active)

Free workspaces may later show a bottom advertising banner (for example Google AdSense), except on animal file pages, and not on paid plans. Ads are not currently active.

9. AI features (When enabled / Not currently active)

There is no in-app AI chat or AI write-up feature live today.

When enabled: planned Rescue AI adoption write-ups would generate editable listing text from selected animal fields and your inputs. Quotas and plan eligibility will apply; we do not auto-publish to third-party listing sites. The AI provider will be identified when the feature ships.

10. Availability and changes

We aim for reasonable availability but do not guarantee uninterrupted or error-free service. We may perform maintenance, change hosting or storage configuration (including planned moves of the app, database, and media storage), or discontinue features with reasonable notice where practicable.

11. Suspension and termination

We may suspend or terminate access immediately if you breach these Terms, create risk to others, or if required by law. You may stop using the service at any time. Provisions that by nature should survive (including intellectual property, disclaimers, and liability limits to the extent permitted) survive termination.

12. Intellectual property

Pawventory software, branding, and documentation are owned by us or our licensors. Except for your content licence in section 3, these Terms do not transfer ownership of our IP to you. You may not copy or redistribute the service except as allowed by law or our written permission.

13. Disclaimers

To the maximum extent permitted by law, Pawventory is provided “as is” and “as available”. We do not warrant that the service will meet all of your requirements or that data will never be lost. You should keep your own copies of critical records where appropriate.

14. Limitation of liability

Solicitor note — Australian Consumer Law (ACL): If you are a consumer under the ACL, you may have non-excludable rights and remedies. Nothing in these Terms excludes, restricts, or modifies those rights where it would be unlawful to do so. Where our liability cannot be excluded but can be limited, we limit it to resupplying the services or paying the cost of resupply, where that is permitted.

Subject to the above and to the maximum extent permitted by law:

we are not liable for indirect, incidental, special, consequential, or punitive loss, or loss of profits, data, or goodwill
our aggregate liability arising out of or related to the service in any 12-month period is limited to the greater of [DANA: liability monetary cap] or the amounts you paid us for the service in that period (which may be zero while billing is inactive)

15. Indemnity

You agree to indemnify us against reasonable losses arising from your breach of these Terms, your content, or your misuse of care-share or invite links, except to the extent caused by our proven negligence or wilful misconduct (and subject to non-excludable ACL rights).

16. Governing law

These Terms are governed by the laws of Australia and the State of South Australia. Courts in South Australia may hear disputes, without preventing you from relying on consumer rights available where you live in Australia.

17. Changes to these Terms

We may update these Terms from time to time. The “Last updated” date at the top will change when we revise them. Continued use after changes take effect constitutes acceptance to the extent permitted by law. If a change requires renewed acceptance, we will ask for it in-product.
